Your responsibilities:
The Transport & Customs department is responsible for the delivery of UPS systems, Spare Parts and 3rd party material like batteries for Projects, Spare Parts orders and Warranty issues.
The Transport & Customs Coordinator works closely with the Packing Company, Forwarders, Shipping Lines, embassies, inspection companies, Project Engineers, Project Managers, Suppliers and Clients to maximize on time delivery and customer satisfaction. Therefore excellent communication skills and a high degree of flexibility are essential for this position.
Transport & Customs department utilizes, supports and actively encourages the use of electronic tools to enhance service delivery.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Organise transports by courier, truck, air- and sea-freight worldwide
- Coordination and organization of required packing according to internal standards or customer's specification.
- Supervise the battery and 3rd party deliveries including dangerous goods declaration (DGD), safety data sheet and correct labeling as per international rules.
- Arrange governmental approval of documents at chamber of commerce and/or consulates, clearance and on-site deliveries
- Checking of logistics related suppliers invoices in regards to their correctness
- Inform Project Manager / CS Admin , Invoicing department about Incoterm completion so that the invoices can be issued and revenues can be generated.
- Assisting Sales and Project Manager in checking purchase orders in regards to packing and shipping requirements
- Issuance of required shipping documents as per customer's specification and/or country regulations and/or letter of credit (L/C) to ensure smooth shipment and custom's clearance as well as to secure punctual payment.
- Contribution to the organization: Satisfied customers come back for more!
SECONDARY DUTIES
- Constantly improve processes in regards to quality and cost
- Planning deliveries in relation to cost benefit analysis as well as in consideration of promised delivery dates and revenue- recognition / generation
- Consequential and systematical follow-up of projects by attending flow-meetings and hand-over sessions
Your qualifications:
EXPERIENCE, KNOWLEDGE AND SKILLS —REQUIRED::
- Commercial apprenticeship, further education in area of Transport & Customs is an advantage
- 2-3 years of experience in a related position
- Fluency in German and English (verbally and in writing)
- Good knowledge of: MS Office
- SAP is a plus
- Must be able to work with a minimum of direct supervision
- Technical flair
- Ability to handle multiple, conflicting priorities
KNOWLEDGE AND SKILLS —DESIRED BUT NOT ESSENTIAL:
- Knowledge of any other language will be an advantage
