As a Receptionist, you will be reporting to our Administration Department and manage front desk operations. This position combines hands-on reception duties to ensure smooth, welcoming, and efficient front office experience for all visitors, clients, and employees.

Your tasks
- Provide excellent guest hospitality to create a welcoming and professional environment for guests, clients and employees
- Coordinate and schedule meeting room bookings according to company needs
- Manage incoming calls, emails, and correspondence, direct inquiries appropriately
- Handle incoming and outgoing mail and courier services efficiently
- Maintain the reception area and meeting rooms to a high standard of cleanliness and organization
- Manage travel organisation, including booking taxis, train tickets, flights, restaurants, and accommodations for employees and/or clients
- Perform various administrative tasks as required (organize flowers, gifts, send birthday greetings and seasonal related tasks etc.)
- Serve as back-up receptionist, covering desk duties during colleagues’ absences
- Support administrative tasks such as data entry, document preparation
- Handle invoice payments of non-trade invoices
- Assist in organizing and supporting various projects
- Collaborate with HR and other departments to continuously improve front desk operations
Job qualification
- Proven experience in hospitality as a receptionist or a front office role
- Proficiency in MS Office and common office systems
- Excellent in English spoken as well as written, very good German skills
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Professional appearance and demeanor
- Highly motivated, detail-oriented team player with a self-driven personality and showing initiative
- Comfortable working in a fast pace and multi-cultural environment
