Quality Systems & Tools Intern (6 months)

To strengthen our Integrated Management System (IMS) department, we are looking for a Quality Systems & Tools Intern for a duration of 6 months, based at our Headquarters in Prilly. 

The Quality Systems & Tools Intern will report to the Global IMS Lead and will contribute to the effective use of our Quality System tools by providing user support, assisting with administrative and coordination activities, and ensuring the smooth day-to-day management of systems and documentation.

ROLE

  • Contribute to the proper use of Quality System tools (BPA, OpenText, iGrafx)
  • Provide IMS team support for Quality System tools, including troubleshooting, follow-up of reported issues, and coordination of related administrative activities to ensure the smooth functioning of the systems
  • Monitor and support the migration of pending actions in SQUARE
  • Maintain and update SharePoint sites used by the Integrated Management Department
  • Organise and maintain documentation and shared folders within the IMS team
  • Create and update training materials for IMS system tools
  • Organise meetings and provide administrative support (invitations, logistics, minutes if needed)
  • Support the coordination of internal and external audits (meeting invitations, room bookings, logistics)
  • Assist in updating and aligning international standard requirements across Quality System tools.

PROFILE

  • Strong interest in Quality Systems, process and documentation management, and continuous improvement tools
  • Proactive, organised, and detail-oriented
  • Good communication skills and ability to interact with multiple stakeholders
  • Ability to plan, prioritise, and execute tasks effectively
  • Proficient in French and English
  • Proficiency in Microsoft tools (PowerPoint, Excel, Teams, Outlook, Copilot, etc.)
