Team Assistant (m/f/d)

Position:

The Team Assistant provides high‑quality administrative, operational, and project coordination support across both the People & Culture and Marketing & Sales functions. The role ensures smooth execution of P&C administrative processes, marketing project coordination, and internal events, while maintaining accurate operational documentation and supporting fleet management tasks.

Responsibilities:

As the Team Assistant, you will be responsible for…

  • Purchase Order Management (P&C + Generic M&S): Create and maintain Purchase Orders for P&C administrative needs and generic M&S requirements. Perform accurate follow‑up and coordination of goods receipt (GR) bookings to ensure compliant and timely processing.
  • Marketing Project Support: Provide coordination support for Marketing & Sales projects, including workshop organization, agency/provider collaboration, preparation of materials, and ensuring E2E logistical readiness as well as support departmental communication.
  • Operations, Fleet & Office Coordination Support: Assist Fleet & Office Manager in scheduling driver trainings, managing car swaps, processing fleet-related documentation. Support onboarding processes, coordinate required translations, schedule medical check-ups for leadership team members, and assist in preparing workshops and teambuilding activities. Act as a central point of coordination to ensure smooth office operations. Execute administrative tasks such as screening phone calls, photocopying, mailing, filing, document processing, travel arrangements (flight/train bookings), and expense submissions.
  • 121 Operations Support: Provide operational and coordination support for 121 initiatives, including the organization of 121 trainings, preparation of materials, and on-site execution support to ensure smooth and high-quality delivery.
  • People & Culture Administrative Support for Internal Events: Support the planning and execution of P&C‑driven employee events. Coordinate logistics, vendor interactions, communications, and onsite support to ensure successful execution and positive employee experience.
  • Deputy to GM, CA&C, Legal & Finance Assistant: Provide backup support for executive administrative tasks during absence or peak workload periods.

Requirements:

  • Commercial apprenticeship, business administration qualification, or equivalent office management education.
  • Proven experience in administrative or coordination roles, preferably in HR, Marketing, FMCG, or cross-functional environments. Experience with POs, vendor management, or SAP (incl. MIGO) as well as support experience in events, workshops or fleet management are an advantage.
  • Fluency in both written and spoken in English. Good command of German and/or French is a strong advantage.
  • Strong organizational and multitasking skills with high attention to detail and the ability to handle confidential information with professionalism and discretion.
  • Outstanding communication and stakeholder management capabilities across functions followed by a proactive personality.
  • Proficiency in Microsoft 365; SAP experience (PO/MIGO) is an advantage.
