We are looking for an Association Coordinator to support our Association Management Department. This role is particularly suitable for someone with a background in secretarial or administrative functions (e.g. Arztsekretär*in, Direktionsassistent*in) who is comfortable with established processes, values continuity, and finds satisfaction in managing recurring tasks with accuracy and reliability in an international environment.

The Association Coordinator will organise bi-monthly webinars, liaising with speakers, providers, and the communications team, and provide support during the events, which usually take place in the evenings. The role also covers coordination of educational programmes, including the set-up of application and review systems, compilation of applicant documents, promotion planning, review tracking, and applicant communication.

Administrative tasks include managing the email inbox, maintaining records, preparing and documenting meetings, creating budgets, and handling invoicing, finance follow-up, and legal coordination with suppliers. The position further involves membership administration -responding to inquiries, processing applications, overseeing the membership website, and representing the organisation at the annual conference.

Your Profile
  • Completed commercial education, ideally with experience as a secretary, office administrator, or similar background
  • Service-oriented, reliable, and precise way of working
  • Solid IT skills (MS Office, particularly Word, Excel, Outlook) and aptitude for learning new IT systems
  • Excellent command of English, both written and spoken (German is a plus)
  • Flexible and open, with interest in international contacts
  • Willingness to occasionally work outside regular office hours (webinar support in the evening once every fortnight)

Employment Conditions

Workload: 50% position (to be distributed across at least 4 working days per week)
