As our Senior Operations & Administrative Partner, you will be the organizational heartbeat of our startup. You will keep the team running smoothly, build structure where needed, and create an environment where people can do their best work. You will collaborate closely with our CEO and the Executive Leadership Team, providing high‑level administrative support and driving coordination and operational initiatives. This role is perfect for someone who loves variety, stays calm under pressure, and naturally becomes the go‑to person when things need to get done. Your responsibilities include, but are not limited to:
- Partner with the CEO and Executive Leadership Team on day‑to‑day administrative and organizational matters, ensuring alignment, preparation, and smooth execution.
- Support the team and leadership with:
- Preparing presentations and reports
- Managing shared drives and documentation
- Coordinating signatures, approvals, and contract workflows
- Aligning meeting requests
- Supporting with travel bookings and logistics - Drive team events, offsites, and internal activities that bring people together.
- Welcome guests and partners, ensuring a professional and warm experience.
- Keep our daily operations running — from office logistics to vendor coordination to making sure the essentials are always in place.
- Spot opportunities to improve how we work — and take the lead in turning those ideas into better processes and routines.
- Navigate the everyday surprises of startup life with a calm, solution‑oriented mindset — finding practical answers to whatever challenge comes your way.
Your profile:
- Completed commercial apprenticeship or equivalent education.
- 7+ years of experience in administrative, assistant, or office operations roles.
- Strong command of MS Office (Outlook, Word, Excel, PowerPoint, Teams).
- Self-starter with a hands-on mentality and a “can-do” attitude.
- Ability to stay calm, structured, and solution‑oriented even when things get busy.
- Service-oriented mindset with a proactive approach to helping others
- Excellent prioritization skills – you manage multiple tasks without losing track.
- Fluent in German and English.
