THE ROLE

We are looking for a highly organised and proactive Office Manager (80-100%) to ensure the smooth day-to-day operation of our office and provide administrative support to internal teams and visitors. This role is central to the company, combining office coordination, administrative support, facilities management, and event organisation.

The role may be structured on either a full-time or part-time basis (approximately 80–100%), depending on the agreed working pattern and business needs. Working arrangements may include full days over four days per week, or shorter days across five days per week, and will be agreed with the successful candidate to provide flexibility while ensuring appropriate coverage. MAIN RESPONSIBILITIES

  • Handle the office main phone line and front desk reception
  • Welcome clients and visitors (meet & greet)
  • Organise and coordinate complex business trips
  • Arrange meeting rooms, catering, restaurants, and hotel reservations
  • Manage office supplies, equipment, and stock levels
  • Coordinate mail, deliveries, and courier services
  • Liaise with the landlord and manage all office maintenance and facilities
  • Coordinate cleaners and external service providers
  • Plan and manage internal and external events
  • Support the Finance team
  • Support HR-related administrative tasks (onboarding, office access, employee support)
  • Ensure health & safety compliance, including first aiders and fire evacuation administration
  • Work closely with the London and Bermuda Office Management teams to deliver consistent, high-quality Group Office Management support

PERSONAL ATTRIBUTES AND OTHER REQUIREMENTS

  • Experience in a similar role, or within hospitality, travel management, or as an Executive Assistant, is desirable
  • Highly organised with strong attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks and priorities
  • Proactive, reliable, and service-oriented
  • Team-oriented, with a proactive, positive approach to tasks
  • Excellent command of English both written and spoken, German desirable
  • The right to work in Switzerland
