Executive Assistant
Job Description
Executive Support
Provide proactive operational and administrative assistance to one or two Partners, including complex diary management, email handling, prioritizing requests, and preparing high-quality documents and presentations;
Anticipate needs and ensure Partners are fully prepared for meetings, travel, and key priorities.
Travel and Meeting Coordination
Plan and coordinate compounded international business travel: research and book flights, hotels, visas, and transfers; prepare itineraries; manage check-ins and travel documentation;
Schedule internal and external meetings across multiple time zones and manage competing diary priorities;
Organize onsite meetings, coordinate catering, and ensure a professional welcome for visitors.
Team and Committee Support
Coordinate various team meetings, including preparation and distribution of materials;
Register team members for Advisory Boards, Annual General Meetings, and other key events;
Prepare and coordinate presentation packages for various committees and internal governance bodies.
General Administration
Handle incoming calls, messages, mail distribution, and other general office support tasks;
Process monthly expense reports accurately and in a timely manner;
Ensure smooth daily operations across the Private Equity Management Investment Team.
Collaboration, Coverage and Team Support
Provide ongoing administrative support to additional team members within the Private Equity team as needed (e.g., meeting coordination, materials preparation, travel support);
Act as deputy for other assistants within the Private Equity Management Investment Team, both onsite and in international office locations;
Contribute to a collaborative and efficient team environment by sharing best practices and supporting colleagues during peak periods or absences.
Requirements
Degree in Economies or comparable (e.g. KV) with experience in a similar role in Banking/Asset Management, travel or hospitality industry;
Excellent verbal and written language skills, both in German and English are essential;
High level of initiative and customer-orientation is essential;
Strong organizational skills and ability to multi-task according to shifting priorities;
Proactive personality with strong interpersonal skills, team spirit and drive;
Quick learner, meticulous and detail-oriented;
Professional phone manners;
High level of discretion.
