Job description:

In this role, you will provide high-level administrative, operational, and strategic support to the Head of Global CE&O. You will play a key role in ensuring smooth day-to-day operations, supporting cross-functional collaboration, and enabling senior leadership to focus on strategic priorities.

About the customer:
Requirements:
  • Proactive calendar management, meeting prioritisation, and coordination across multiple time zones
  • Managing complex international travel arrangements, expenses, and reconciliations in line with company policies
  • Organising and facilitating internal and external meetings, including agendas, briefing materials, technology setup, and follow-ups
  • Supporting onboarding activities for new team members and ensuring smooth integration into tools and systems
  • Maintaining and improving digital collaboration environments (SharePoint, shared drives, departmental hubs)
  • Acting as a central point of contact for record management, archiving, document control, and compliance with internal procedures
  • Coordinating cross-functional projects and initiatives, tracking timelines and deliverables
  • Supporting department operations, including procurement activities and vendor coordination
  • Liaising with IT and external suppliers for device setup, access requests, and hybrid meeting logistics
  • Preparing executive-ready presentations, dashboards, and documents using PowerPoint, Excel, and other tools
  • Serving as a professional point of contact for internal and external stakeholders and supporting executive communications
  • Proactively identifying opportunities to improve administrative processes and operational efficiency
Wishes:
Competences:
  • Minimum 5+ years of experience in an executive support or business administration role within an international environment
  • Advanced proficiency with Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint)
  • Strong experience supporting senior-level executives and coordinating projects
  • Excellent written and verbal English skills; additional European languages are an advantage
  • Exceptional organisational skills with the ability to manage multiple priorities under pressure
  • Strong interpersonal skills and ability to work effectively across cultures
  • Proactive, solution-oriented mindset with a high level of professionalism and discretion
