For our pharmaceutical clients in the Basel region, we regularly seek qualified Administrative Assistants for temporary assignments.

These roles offer the opportunity to contribute to dynamic teams within leading healthcare organizations, supporting key administrative functions and enabling operational excellence across various departments.

Administrative Assistant

Key Responsibilities:

  • Provide executive and team support including calendar management, travel arrangements, and expense reporting
  • Coordinate meetings, workshops, and events (on-site and off-site)
  • Manage hiring processes, onboarding/offboarding, and internal transitions
  • Maintain organizational tools such as organigrams, distribution lists, and Google Spaces
  • Handle purchase orders, invoice processing, and material management
  • Support time management, reporting, and digital signature workflows
  • Ensure smooth communication across teams and departments
  • Collaborate closely with assistant networks and contribute to a positive team culture

Your Profile:

  • Completed commercial apprenticeship or Bachelor's degree in Business Administration or related field
  • 3+ years of experience in administrative or executive assistant roles, ideally within the pharmaceutical industry
  • Proficient in Google Suite (Gmail, Calendar, Drive, etc.); experience with AI tools is a plus
  • Fluent in English (C1+); German is a strong asset
  • Highly organized, detail-oriented, and solution-driven
  • Strong interpersonal skills with a service-oriented mindset
  • Able to maintain confidentiality and work independently in a global, cross-functional environment
