Your responsibilities include, but are not limited to:
- Establish and manage the office operations from the ground up, including vendor coordination, supply management, and infrastructure setup.
- Act as the primary point of contact for internal and external stakeholders on all office-related matters.
- Develop and implement scalable office systems and processes to ensure smooth daily operations and efficiency.
- Provide general administrative support to team members – including: preparing documents such as presentations, reports and meeting minutes; maintaining shared drives and folders for easy access and collaboration; coordinating signatures and approvals for contracts and internal documents, etc.
- Support planning of offsites, team-building activities, and company events.
- Coordinate visits from external guests, managing onsite logistics to ensure a professional and welcoming experience.
- Identify and implement opportunities for continuous improvement, bringing fresh ideas to enhance operational efficiency and team experience.
Your profile:
- Completed commercial apprenticeship or equivalent education
- 3+ years of experience in a similar office management or administrative role
- Proficient in MS Office (Outlook, Word, Excel, PowerPoint, TEAMS)
- Self-starter with a hands-on mentality and a “can-do” attitude
- Comfortable working in a fast-paced, evolving environment
- Service-oriented mindset with a proactive approach to helping others
- Ability to manage multiple tasks, schedules, and priorities efficiently
- Comfortable setting up systems and processes from scratch
- Fluent in German and English
