To support our COO and CFO in Schaffhausen we are looking for an

Are you a highly organized, proactive, and detail-oriented professional with exceptional communication and interpersonal skills? We are seeking a dedicated Executive Assistant to our Chief Operations Officer and our Chief Finance Officer, serving both on a 50/50 basis, to play a pivotal role in ensuring the smooth running of daily operations. Reporting to both, you will be instrumental in managing complex schedules and are a central point of contact within the company. This is an exciting opportunity for an individual who thrives in a dynamic environment and is eager to provide comprehensive support at the highest level.
- Agenda Management including complex appointment coordination at C-Level / with our Richemont Group
- Preparation of meetings and minute-taking, as well as organizational and administrative support for the COO and CFO, to ensure the smooth running of daily operations
- Plan all travel, including careful processing of visa formalities and expense reports
- Planning, organization, and coordination of events, team events, and workshops, as well as internal and external visits
- Creation of PowerPoint presentations, strategy documents, as well as analyses and reports
- Creation of Intranet articles for the department, including drafting communications
- DocuSign Administrator
- Participation in projects and point of contact for various team questions
- Commercial education and further training as a Management Assistant with a Swiss Federal Diploma (eidg. FA), further training in Digital Office Management or similar is a plus
- Several years of experience as an Executive Assistant in a similar role in a creative and dynamic environment
- Profound user knowledge in Microsoft Office (PowerPoint, Excel, Word), Microsoft Teams, OneNote, SharePoint, as well as a general affinity for digital programs
- Fluency in German and English is a must-have, French is a plus
- Hands-on personality with a proactive mindset/planning, independent way of working, coupled with a high degree of flexibility, forward-thinking and agility
- Empathetic personality who communicates appropriately and friendly at all levels
