Employee Relations Administration Assistant

Job description:

You will provide hands-on administrative and analytical support to the Employee Relations team in Switzerland. You will keep operations running smoothly by organising meetings, preparing documentation, managing data, and anticipating the team's needs.

This is a practical, detail-driven role that requires strong organisation, discretion, and the confidence to work independently in a fast-paced environment.

About the customer:

Contract type: Fixed-term contingent worker contract, 6 months (potential extension)

Location: Bern, Switzerland

Travel: Occasional travel to Zurich

Function: Human Resources - Employee Relations

Workload: Full-time

Requirements:

Administrative Support

  • Coordinate and schedule employee meetings, including room bookings, calendars, and virtual sessions.
  • Prepare and collate documentation for ER meetings, investigations, hearings, and consultations.
  • Maintain accurate and well-organised digital and physical records.
  • Support daily ER administration across Bern and Zurich.
  • Liaise with HR, payroll, legal, and internal stakeholders to gather information and documentation.

Data & Reporting

  • Maintain and update Excel trackers for ER cases, actions, and timelines.
  • Produce regular and ad hoc reports to support ER activity and decision making.
  • Perform data checks and basic analysis to ensure accuracy and consistency.
  • Support calculations and data preparation for ER processes in close collaboration with ER Managers.

Systems & Process Support

  • Use HR systems and internal tools to support ER administration and reporting.
  • Ensure confidential handling of data in line with data protection requirements.
  • Identify opportunities to improve administrative processes and ways of working.

Proactive Support

  • Anticipate team needs and act without waiting for instruction.
  • Flag risks, gaps, and issues early and propose practical solutions.
  • Adapt quickly to changing priorities and high-volume periods.
Competences:

Essential

  • Strong Excel skills, including VLOOKUP or equivalent functions.
  • Experience with Mail Merge in Microsoft Office.
  • Comfortable working with numbers, calculations, and reporting.
  • Fluent in English and German.
  • Excellent organisational skills with strong attention to detail.
  • Able to manage multiple tasks and deadlines with accuracy.
  • Confident handling sensitive and confidential information.
  • Proactive, practical, and solution focused.

Nice to have

  • Experience supporting HR or Employee Relations teams.
  • Familiarity with HR systems and administrative workflows.
  • Advanced Excel skills such as Pivot Tables and Macros.
  • Swiss German language skills.
  • Experience in fast-paced corporate or professional services environments.
