Administrative Assistant
Your role
As an Administrative Assistant, you will play a central role in ensuring efficient operations across the Medical Data Science Unit and DCR Business Operations. You will provide direct administrative support to the Head of the Medical Data Science Unit (Prof. Benjamin Ineichen) and contribute to coordination and administration in several cross-departmental areas.
Your main responsibilities include:
1. Providing proactive and reliable administrative support to the Head of the Medical Data Science Unit (Prof. Benjamin Ineichen) and the DCR senior leadership team.
2. Coordinating schedules, meetings, correspondence, and travel arrangements.
3. Supporting business operations, including documentation, internal communication, and administrative workflows across the department.
4. Supporting the Education Unit in the organization and administration of clinical research courses (participant and course management, materials, logistics, communication).
5. Assisting the Patient and Public Involvement (PPI) area with administrative and coordination tasks, gaining direct insight into current research studies and public engagement activities.
6. Supporting office management tasks, procurement, and maintaining internal documentation systems.
7. Organizing departmental and unit-level meetings and events, including handling logistics, catering coordination, and on-site support.
8. Providing on-site presence and flexibility to stay longer during meetings, courses, and events when required.
Your profile
- Completed commercial or administrative training (KV EFZ or equivalent qualification); a Bachelor's degree is a plus.
- Several years of relevant administrative experience, ideally in an academic, research, or healthcare environment.
- Excellent communication skills in English and German (spoken and written) are mandatory.
- Strong organizational and coordination skills, with a proactive, structured, and solution-oriented approach.
- Excellent interpersonal and service-oriented attitude, with the ability to work independently and collaboratively.
- High proficiency in MS Office, Word, Excel, Power Point, OneDrive, etc.
- Strong attention to detail, reliability, and discretion in handling sensitive information.
- Interest in data-driven research, AI, and digital innovation in healthcare is an advantage.
- Willingness to work fully on-site (no remote work).
