Personal and Team Assistant Human Resources

Job description:

Core Responsibilities: 

  • Full calendar management for Senior Vice President Human Resources, including arranging meeting, manage calendar conflicts and market travel, appointments, town-halls and key visits 
  • Organisation of travel arrangements, including flights, hotels, transportation, visa applications as well as developing program content to ensure itinerary reflects best use of time 
  • Organising internal and external meetings and conferences - research meeting locations, catering, technical requirements etc. 
  • Expense management 
  • Preparing executive presentations 
  • Support in mid-year and year-end reviews, including solicitation of input from peers/colleagues 
  • Supporting admnistratively HR team 
  • Share key information and collaborate with the HR leadership team 
  • Maintain Distribution Lists for the HR community and the HR leadership team 
  • Creating organisation charts Handling SAP Approval issues, as they arise 
  • Resolving and supporting technical issues that the team encounter 
  • Supporting with tracking and renewals of cards, as well as company car related requests Credit card management incl. coordinator to European credit card team  
  • Leading organization and planning of Christmas party  
  • Master Shopper for HR assigned responsibilities incl. invoice follow up  
  • Publishing announcement postings on Europe intranet  
  • Ad-hoc tasks 

Required profile:

In order to be success on this position we need you to have: 

  • Sound qualifications in written and spoken English 
  • Advanced MS Office skills (MS PowerPoint, MS Word) 
  • Excellent organisation skills, ability to prioritize and be flexible 
  • Pro-active, self motivated, energetic and able to work on own initiative 
  • Ability to work with ambiguity and anticipate needs 
  • Able to deal with highly confidential information and matters in a professional manner 
  • IT communications literate (Telepresence, teamsites, Lync)  
  • Large meetings and events organisation management skills
