PERSONAL ASSISTANT PARTNER BUSINESS - HQ

We are currently looking for a Personal Assistant reporting directly to the Head of Global Partner Business of Vifor Pharma. In this position, you will support managing the regional businesses, carry out standard administrational tasks and manage selected projects within the Global Partner Business. Your tasks and responsibilities will include, but not be limited to, the following:
  • Administrative tasks, to include: preparation of presentations; organisation of meetings; preparation of agendas; recording and completion of meeting minutes; coordinate distribution and follow up on action items; travel arrangements and bookings; invoice processing
  • Contribute to functional excellence and business improvement initiatives
  • Coordinate information requests and cross-departmental requirements
  • Support to Global Partner Business executives in project planning, reporting, the development of standard practices, procedures and templates that will result in consistent, reproducible, scalable methodology in alignment with the Head of Global Partner Business
  • Manage assigned projects including scheduling, planning, defining project objectives, milestones, requirements and assumptions necessary to structure a project or activity and alignment of tactics to strategy, creating and maintaining integrated task, timeline, resource plan, cost control, execution and partnering with stakeholders and the on-time delivery
  • Additional tasks upon assignment by the Head of Global Partner Business
  • Manage the agenda meeting invitations, ensuring that pre-reads and presentations are delivered on time, taking minutes and follow-up on action items
  • Deputy Executive Assistant to Chief Commercial Officer
The ideal candidate is bringing a Bachelor's degree in a related field in addition to the following experience:
  • Minimum of 10 years' of working experience in administrative support position
  • Excellent practice using MS Office tools
  • Fluency in English and German
  • Preferred experience within the pharmaceutical industry

You take a proactive approach to identifying service support, information flow and process; resolve issues appropriately with a service-oriented approach. You are able to understand and translate requestor's strategies into plans in order to drive projects to completion. You work in a constructive way with others, with excellent facilitation and conflict resolution skills.
