Our client is a leading global pharmaceutical company. Its current footprint spans 11 countries across six continents, and this journey has been made possible thanks to the vision and conviction of the founder over 50 years ago. On their behalf, we are looking for an organized Executive Assistant to join a small team of 20 at our client’s corporate office (European HQ) in Zug, Switzerland. The position is to be filled as soon as possible.

Executive Assistant to the President EMEA (m/f) - multinational pharmaceutical company

In this position, you will use your broad skill set to expedite your manager's priorities while working closely with various audiences, such as Finance, Supply Chain, Compliance, and Business Development. Working closely with the President, you keep him informed of upcoming commitments and priorities and follow up appropriately. You are prepared to tackle each task accurately, adapt as needed, and collaborate as part of the team. You are positive, energetic, and ready to help make each day as productive as possible. 

Duties of Position

  • Supporting the President EMEA in all administrative activities; acting as a point of contact; following up on deliverables; and ensuring that all aspects of business life run smoothly
  • Managing an extremely dynamic calendar while planning strategically and prioritizing where necessary
  • Scheduling meetings via virtual platforms; organizing global business meetings; providing notes, and pre-booking of accommodations as required; planning travel that will become a major task as the COVID-19 pandemic diminishes
  • Attending key meetings and taking notes; drafting minutes for approval and circulation; ensuring takeaways from meetings are communicated to and followed up with relevant stakeholders
  • Depending on your educational and experience background, you will be involved in projects or run them independently (analyses, market intelligence, research). We leave the field open for candidates who would like to contribute their pharmaceutical know-how
  • Producing  paperwork, such as agendas and presentations, using existing templates
  • Emailing management using Microsoft Outlook while monitoring, prioritizing, and acting on incoming email
  • Serving as the President’s administrative liaison to his directs reports (GMs in Europe, the Middle East, and Africa)
  • Acting as a bridge for strong communication while demonstrating leadership that maintains credibility, trust, and support
  • Maintaining systems and processes 
  • Handling ad hoc projects as required, such as supporting key initiatives, providing decision-making support through data gathering, and presenting considerations

Skills Required
  • Commercial apprenticeship, bachelor’s degree, or other relevant experience
  • Proven executive assistant experience with international exposure in a corporate environment, specifically in the pharmaceutical/biotech
  • English speaker, either first language or proficient level; French/German would be an asset
  • MS Office skills, including Teams or other virtual collaboration tools
  • Excellent organizational and problem-solving skills with the ability to manage conflicting deadlines
  • Enthusiastic with a passion for learning and contributing ideas
  • Excellent interpersonal skills; able to build and maintain relationships and work well with company associates and external stakeholders
  • Discreet and respectful of confidentiality when handling highly sensitive projects
  • Emotionally mature and culturally aware
