What you can expect
Working under the direction of the Head Sales & Marketing, the Executive Assistant is responsible for supporting, implementing and managing a range of online & offline communications, events and tools to enhance Volpi's brand perception and drive customer engagement across both Volpi Group locations in Dietikon (Switzerland) and Auburn (USA)
Responsibilities:
- Calendar and Email Management: Manage the Head of Sales & Marketing's calendar, schedule appointments, and coordinate meetings. Monitor and respond to emails on behalf of the Head of Sales & Marketing, ensuring timely and accurate communication.
- Travel Arrangements: Coordinate travel arrangements, including flights, accommodation, and transportation, for the Head of Sales & Marketing and other team members as required.
- Meeting Coordination: Assist in the preparation of meeting materials, including agendas, presentations, and reports. Take meeting minutes and distribute them to relevant stakeholders. Follow up on action items and ensure their completion.
- Document Management: Maintain and organize electronic and physical files, ensuring easy access and retrieval of information. Assist in the creation, editing, and formatting of documents, presentations, and reports.
- Communication and Correspondence: Draft and proofread emails, letters, and other correspondence on behalf of the Head of Sales & Marketing. Ensure accuracy, clarity, and professionalism in all communications.
- Data Analysis and Reporting: Assist in gathering and analyzing sales and marketing data, preparing reports, and creating visual presentations to support decision-making processes.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and team members. Serve as a point of contact for inquiries and provide exceptional customer service.
- Special Projects: Support the Head of Sales & Marketing in various special projects, such as market research and event coordination.
Who we are looking for:
- High school diploma or equivalent; additional education or certification in business administration or a related field is a plus.
- Proven experience as an administrative assistant or in a similar role, preferably in a sales or marketing environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy in all work.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent written and verbal communication skills (DE & EN).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to work effectively in a team environment.
- Proactive and self-motivated, with the ability to work independently and take initiative.
