We are looking for a highly capable IP Administrator/Paralegal to assist our IP Department with the management of a growing patent portfolio and other IP matters (e.g. trademarks). The IP Administrator/Paralegal will be an important member of the IP team and will support the work of the IP attorneys.
This challenging and diverse position will include the following tasks and responsibilities:
- Provide general and administrative support for the IP department and IP attorneys;
- Maintain IP docket and generate IP docket reports, especially with regard to worldwide patent filings and pending patent applications;
- Extract relevant IP information from incoming correspondences and from official patent office databases (such as USPTO or EPO), including with regard to filing and payment deadlines;
- Maintain IP records and process incoming and outgoing correspondences and new IP filings by entering same into internal database;
- Interact with external IP law firms and service providers on administrative matters; this includes responsibility for instructing service provider on patent annuity payments;
- Interact with various (internal) stakeholders regarding IP-related matters, e.g. with inventors on the signing of documents and the Finance department on invoices and billing questions;
- Prepare, collect and/or review various documents required for patent filings and prosecution, such as information disclosure statements, declarations, assignments, and power of attorney documents;
- Support the legalization of documents as needed for worldwide patent prosecution;
- Report to Head of IP.

Requirements
- A commercial degree or another relevant qualification (e.g. Patent-anwaltfachangestellte(r));
- At least 1-2 years of experience in patent docketing and prosecution administration;
- General knowledge of patent filing and prosecution procedures and requirements;
- Preferably proficiency in IP legal terminology and the use of electronic databases, including the USPTO's and EPO’s patent databases;
- Experience in managing IP records and generating docket reports;
- Strong attention to detail and ability to prioritize and keep track of deadlines;
- Excellent written and verbal communication skills in English (and preferably in German);
- Good teamplayer and ability to collaborate with others, but also able to work independently as needed;
- Strong sense of responsibility and exceptional recordkeeping and organizational skills;
- Computer skills (e.g. Word, Excel, patent database software, etc.);
- General interest to work in an innovative, fast-moving biopharmaceutical company.
