Team Leader Conference Services Business Partner

About the role

As a member of the team leader committee of Conference Services you will: 
  • Lead a team of 4 Conference Service Business Partners and advise/consult them in the development, planning, organising and executing of Swiss Re conferences, meetings and events in Swiss Re premises and external locations and take over the deputy role during holidays and absences
  • Execute the performance management process with your team and ensure a fluent daily business including holiday planning
  • Support your team in designing event concepts as required by the business in close cooperation with Swiss Re's internal and external service suppliers
  • Provide support, enable and empower Conference Services Business Partners to understand client needs and act in an entrepreneurial capacity by providing the best solution to the client
  • Plan and monitor the logistics of events, such as venue set up, technical infrastructure, security, transportation and staff planning in close collaboration with Conference Services Administration
  • Provide onsite support during the event if required (extended hours, including weekends, may be involved)
  • Ensure post consistent event production delivery (i.e. invoice handling, supplier debriefing, evaluation of guest feedback, final costs statement vs. budget, documentation, etc.)
  • Develop and monitor the event-budget
  • Coordinate and monitor invitation and registration management
  • Manage and secure a well performing relationship to internal stakeholders and event supplier relationships
  • Play an active role in developing the business partner team and successfully collaborate with the Conference Services Administration Team
  • Participate in cross-functional projects and share your expertise
About the team

The Unit Conference Services of Corporate Real Estate & Logistics (CRE&LO) Zürich plans and executes meetings, events and conferences for internal customers (Swiss Re employees) as required by the business to guarantee the professional standard levels commensurate with Swiss Re's image and quality expectations. The team ensures that requirements for the business are delivered as well as collaborates with other internal stakeholder such as Media production, AV services and SR Gastronomy to deliver harmonized services.
About You

You have
• Proven project and event management experience and know-how (ability to direct complex events from concept to execution) 
• Strong verbal and written communication skills in German and English as well as the ability to work in a fast-paced environment. 
• Excellent organisational skills
• Proven ability to work under pressure 
• Experience working in an environment with high ranking executives (e.g. CEO, Executive Board)
• Minimum 4 years' experience in event management and conferencing
• Excellent knowledge of the event industry (locations, suppliers) in Switzerland in particular Zurich
• Strong client counselling skills and ability to act as a team player are a must 
• Proven track record of minimum 2 years' experience in managing complex projects 
• Minimum 1 to 2 years leadership experience in a similar position
• Degree in Event Management, MICE, Hospitality or similar
