Medical Affairs Project Coordinator

Coordinate Regional Medical projects by identifying upcoming
milestones, following-up with internal (cross-functional) and
external (customers, vendors) project members, anticipating and
flagging upcoming issues and suggesting solutions
Manage contracts for Medical projects and CDAs in collaboration
with legal and compliance, including HCP transfer-of-value
reporting to authorities databases (CRYSTAL)
Support preparation of presentations and communications for
Medical Affairs projects; maintain RMA share points and databases
Liaise with agencies contracted on behalf of Medical Affairs in
collaboration with procurement; request purchase orders via the
SAP system. Ensure availability of organizational material and
office supplies
Organize & Coordinate internal and external meetings (incl. minute-
taking), tele/video-conferences, congresses & conferences for the
Head RMA and the RMA Team colleagues.
Support RMA Head in administrative tasks incl. correspondence,
phone calls, calendar and scheduling organization.
Organize business trips, incl. hotels, flights and transfers for the
RMA Head and Team. Process travel expense claims for the RMA
Head; assist RMA team members in filing travel expense claims
Plan and follow-up utilization of RMA budget; review RMA cost-
centers in close collaboration with financial controlling
Liaise with counterparts in Global Medical Affairs and Regional
Marketing Organization for joint projects and mutual support in
their tasks and responsibilities
